Case study: Element Communications

A bespoke flexible workspace delivered at speed

Client overview

Element Communications leads PR and communication strategies for some of the world’s most exciting and fastest-growing technology brands and startups. These clients range from early-stage innovators to established global enterprises, operating across both emerging and mature technology markets.
Spanning sectors including FinTech, cyber security, enterprise IT, sustainability, retail, HR and EdTech, they are united by a need to stand out in crowded, fast-moving industries.

The challenge

Element Communications was looking for a change of location, moving from an inconvenient site on the outskirts of Guildford to our centrally positioned Woking centre. They already had good space, but the layout lacked design and was under-utilised. They wanted a more fitting and bespoke new office for the team, as well as positioning themselves closer to London train connections.
This workplace move was driven by changing hybrid working requirements, a strong growth and recruitment plan and the need for flexibility, both in how the space functioned and how it was contracted.
They also required a short delivery timeframe, a modern, brand-aligned workspace and a flexible, serviced arrangement.

The solution

Collaborate provided a bespoke workplace  solution, identifying the 6th floor at Export House in Woking as the most suitable space opportunity.
The floor was offered as a blank canvas, allowing Element Communications to design and shape the office to suit their specific requirements.
Collaborate worked closely with Element Communications throughout the process. The full design and fit-out was delivered by Collaborate, with Element providing the finishing touches with a bespoke large meeting room for the team.
A tailored and flexible contract arrangement was agreed to meet the client’s requirements.
The overall fit-out included a large open-plan workspace, glass-panelled meeting rooms and breakout space, a modern and open plan desk area, an informal seating area within the office and premium networking and IT infrastructure.

The results

The project delivered a brand-new, modern workspace that reflects Element Communications’ culture and supports the way the team works today. The updated décor created a fresh, contemporary environment designed for both collaboration and focus.
The project was completed within a two-month timeframe, ensuring minimal disruption to the business. Element Communications was able to move into the new space with time to spare, allowing for a smooth transition.
In parallel, a seamless exit was achieved from the company’s previous long-term lease. Collaborate worked closely with removals and setup teams to coordinate the move-in process, ensuring everything was in place from day one.

Conclusion

Collaborate supported Element Communications in securing and delivering a bespoke serviced office that met their requirements for flexibility and design control. Through close collaboration with Element’s internal teams, the space was delivered within a short timeframe and allowed the client to transition smoothly from their previous lease.
